Description About the Role: Snapscale is looking for a reliable, organized, and patient-focused Healthcare Virtual Assistant (HVA) to support a US-based Physical Therapy clinic with virtual front-desk coverage, appointment scheduling, patient inquiries, and administrative support. This role is ideal for someone with healthcare administrative or front-desk experience who can confidently handle patient calls and inquiries, schedule appointments, provide timely follow-ups, and help maintain smooth daily clinic operations. The successful candidate will serve as a reliable extension of the clinic's front desk, helping ensure patients receive professional and responsive support while reducing the administrative workload of the in-office team. Responsibilities may include: • Answer and manage inbound patient calls and front-desk inquiries • Handle patient questions and provide accurate information regarding clinic services and appointments • Schedule and coordinate patient appointments • Send appointment reminders and follow up with patients as needed • Assist with patient intake and registration • Manage patient follow-ups and recalls • Provide virtual front-desk and administrative backup coverage • Maintain accurate patient information and documentation in the EMR • Provide additional administrative support as assigned Perks: • Health Maintenance Organization (HMO)* • Government-mandated benefits* • 13th month pay* • Other employee incentives* • Opportunities for career growth and development • Fun and supportive working environment Requirements • Previous experience as a Healthcare Virtual Assistant, Medical Virtual Assistant, Medical Receptionist, Patient Coordinator, Front Desk Associate, or similar healthcare role • Experience supporting a US-based healthcare clinic is preferred • Previous experience handling patient calls, appointment scheduling, and front-desk inquiries • Strong verbal and written English communication skills • Excellent customer service and patient communication skills • Professional, empathetic, and patient when communicating with patients • Strong attention to detail and organizational skills • Ability to manage multiple patient requests and administrative tasks • Experience with EMR/EHR systems is preferred • Familiarity with Stride EMR is an advantage • Comfortable using phone systems, Zoom, email, and other computer-based applications • Able to work independently while maintaining productivity and accountability Originally posted on Himalayas
