Description About the Role: Snapscale is looking for a proactive, outgoing, and detail-oriented Healthcare Virtual Assistant (HVA) to support a US-based Direct Primary Care (DPC) practice. This is a full-time role combining front-office and back-office healthcare administrative support. The HVA will assist with member engagement, appointment scheduling, patient inquiries, referrals, insurance-related tasks, records, follow-ups, lead management, and other day-to-day administrative responsibilities. The ideal candidate is someone who takes initiative and ownership, communicates confidently with patients and prospective members, and can anticipate the next steps needed to complete a task rather than waiting for detailed instructions. This role is highly patient-facing, so excellent spoken English, professionalism, empathy, and the ability to communicate information clearly are essential. Responsibilities may include: • Handle patient/member calls, messages, inquiries, and concerns. • Manage appointment scheduling, confirmations, reminders, and telehealth coordination. • Support DPC member engagement, intake, registration, and prospective-member inquiries. • Follow up with leads from paid social media campaigns and assist with member conversion. • Maintain accurate lead, patient, and member records and follow-up documentation. • Coordinate referrals, specialist appointments, insurance verification, and prior authorizations. • Assist with medical records, lab results, prescription refills, and provider follow-ups. • Manage EMR, patient portals, online chat, and HIPAA-compliant communications. • Prepare provider schedules, daily agendas, statements, and administrative reports. • Support claims follow-up, payment inquiries, patient satisfaction, and outreach activities. • Proactively track pending tasks, ensure closed-loop follow-up, and identify workflow improvements. • Perform other healthcare administrative tasks as assigned.
